Job description
Executive support when required:
Executive administrative: providing administrative support to the branch manager, including managing schedules and organizing meetings
Documentation: preparing, reviewing and editing documents, presentations and reports
Meeting coordination: organizing and attending meetings, and following up on action items
Communication and coordination:
Liaising: co-ordinating with the outsource about an expat’s work permit and visa, among staff for assigned tasks. Liaise with the HR/front desk team at Brand New Day’s head office in Amsterdam for the company intranet. Liaise with the building owner and suppliers, etc.
Event coordination: hosting, organizing and managing events such as free lunch, monthly dinner/party and annual outings, including souvenirs for staff.
Recruitment administration:
Handling job postings
Screening CVs and finding qualified candidates
Keeping a database of candidates and updating statuses
Taking part in IT job fairs and connecting with IT faculty of selected universities
Facilitating internal projects
HR assistance:
Onboarding/offboarding: ensuring all necessary documentation is completed and compliance is maintained
Policy support: help implementing and enforcing HR policies and procedures as instructed by the branch manager
Training coordination: supporting the organization of employee training programs and ensuring compliance with company policies
Admin assistance:
Ensuring necessary office supplies (stationery, IT equipment and hardware, snacks and drinking station etc.)
Handling administrative duties to facilitate the company, such as reimbursements, booking meeting rooms etc.
Ensuring cleanliness
Job requirements
Qualifications & skills:
Bachelor's degree in business administration, marketing, human resources or a related field.
Two years of experience in an executive assistant or HR administrative role, preferably including event and booth management
A strong ability to prioritize tasks, with attention to detail and problem-solving
The ability to work independently and take initiative in a dynamic environment
Excellent verbal and written communication skills in both Thai and English
Proficiency in Microsoft Office Suite and event management tools
A strong ability to handle confidential information
Knowledge of HR compliance and labor law regulations
